Job Summary

The Flight Operations Administrator is a highly organized and detail-oriented individual who will report to the Chief Pilot and perform a variety of administrative tasks which support the Flight Operations Department, including but not limited to flight crew training coordination, flight crew travel coordination related to training, flight crew payroll processing, flight crew uniform supply ordering and issuing, and flight operations meeting administration.

Duties and Responsibilities

  • Schedule and book all initial and recurrent training and flight testing for pilots and applicable management.
  • Prepare pilot pay and process complete pay information with the finance department.
  • Verify pilots Expense, overtime, per diems and any other pay allotment as per the CBA.
  • Update Flight Crew phone list and contact list.
  • Duties assigned to the Flight Ops. Admin person listed in the Company Operations Manual.
  • Assist the Training Records Department with crew training records.
  • Other Flight Operations related duties as assigned by the Director of Flight Operations, Chief Pilots, and Assistant Chief Pilots as required.
  • Coordinate and distribute pilot uniforms in accordance with the collective bargaining agreement.
  • Utilize company issued software platforms as required.
  • Foster a healthy working environment and promote a positive climate within the workplace.
  • Perform and uphold Wasaya’s Customer Care Commitments to both internal and external customers.
  • Any other related duties as assigned

Skills and Qualifications

Minimum Skills and Qualifications

  • High school diploma or equivalent
  • A certificate, diploma or degree in Business Administration, or related field is an asset.
  • 1-3 years’ experience or an equivalent combination of related post-secondary education and experience
  • Previous airline experience is an asset.
  • Must be professional, discrete and understand the importance of confidentiality.
  • Strong problem identification and objection resolution skills
  • Self-motivated, with high energy and an engaging level of enthusiasm
  • Able to perform basic calculations and mathematical figures.
  • Ability to work individually and as part of a team.
  • High level of integrity and work ethic
  • Maintain a professional appearance, demeanor, and attitude at all times.
  • Highly flexible, with solid interpersonal skills that allow one to work effectively in a diverse working environment.
  • Strong attention to detail in all areas of work
  • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
  • Excellent computer skills, MS-Office preferable and proficient in use of internet and email
  • Able to work well under pressure and meet set deadlines.
  • The ability to communicate in Oji-Cree or Ojibway is an asset.

Working Conditions

  • Overtime as required.
  • Travel may be required.

Physical Requirements

  • Ability to lift or move up to 20lbs.
  • Manual dexterity is required to use desktop computers.
